The Student Account Representative is responsible for the billing and collection of all student tuition accounts. All questions from students and parents regarding such accounts should be directed to student accounts.
Key Topics affecting your Student Account:
Business Office Clearance
Business Office Clearance is part of the normal registration process and must be completed EACH Semester BEFORE the 1st day of classes.
Registration is as EASY as 1 * 2 * 3...
Step 1: Register on-line with advisor’s approval
Step 2: Business Office Clearance
To receive a financial clearance, you must see a Business Office Representative to verify that you have adequate Financial Aid or make satisfactory payment arrangements to cover your cost of attendance. To avoid penalty, every student should “Clear the Business Office” each Fall Semester, Spring Semester and Summer Session before the 1st day of classes. You are not “officially enrolled” unless you obtain financial clearance. Students not “officially enrolled” will be dropped from all of their classes during Enrollment Verification.
Step 3: GO TO CLASS!
Deferred Payments
PSC policy states that all charges are due and payable on registration day. If a need exists after 100% of your financial aid has been applied, a student may request a deferred payment plan. Students requesting deferred payments must sign a promissory note and pay a $100 deferment fee. The deferment fee will be refunded if payments are made timely.
Payments are due as follows (Fall/Spring):
40% Due Day of Registration
20% Due September 15th / February 15th
20% Due October 15th / March 15th
20% Due November 15th / April 15th
Billings
Student account statements are generated at the end of each month and mailed to any student with a balance. Statements are mailed to the student’s permanent address. If you fail to receive a statement please call (501) 370-5202. Please note that in order for parents to receive detailed information on a student's account, a Family Educational Rights and Privacy Act (FERPA) Form must be completed by the student. This form can be obtained in the Registrar's Office.
Account information is available anytime through the online system – JICS. Contact CIS at (501) 370-5336 for instructions, user name, and password.
Failure to receive a statement does not warrant exemption from the payment of tuition, fees, nor from penalties. It is the student’s responsibility to keep their address and telephone number up-to-date. Please contact the Office of the Registrar for an Address Change Form.
Refunds
If your financial aid exceeds the amount of tuition and fees billed , you will be refunded the difference via direct deposit to your Philander Green and Gold Debit Card. All new students will be issued a Philander Green and Gold Card.
Credit balance refunds are processed for
excess funds within 14 days of the credit appearing
on the student account in accordance with federal
regulation. Loans for students who are
receiving federal aid for the 1st time, will not be disbursed until 30
days after the 1st day of classes. In general, the 1st set of refunds will be processed after the Enrollment Verification process is complete each Semester AND funds are received and posted to your account. Refunds are normally processed each Friday for those students whose accounts are in refund status as of Monday of that week.
PLUS loan refunds will be sent certified mailed to the Parent unless the Parent notifies the Business Office. Please call (501) 370-5359.
Payment Options
Book Vouchers
Book vouchers are available to students with excess financial aid. Please contact the Business Office to see if you are eligible for a book voucher. Remember that these vouchers are only valid at the PSC Bookstore.
Form 1098T
The Form 1098T is a tuition statement issued to students and the IRS at the beginning of each year. Please contact Jennifer Davis, Grant Accountant/Sr. Accountant at (501) 370-5359 for questions regarding Form 1098T.
Withdrawal Adjustments are based solely on the date of withdrawal, regardless of whether students attend any class(es). The student must file with and have approved a written withdrawal with the Office of the Registrar. Failure to attend class is not a withdrawal and students will not receive adjustment of charges if they do not attend class. In the case of non-payment, the student will be declared delinquent and subject to the penalties. See Course Catalog for current withdrawal policy.
